Best Lead Management Tools for Small Companies
Author David Schneider | Sep 13,2007  |  Print  | Share This

Lead management, at its simplest, is the process of quickly and effectively creating, cultivating, analyzing and allocating leads. The entire purpose of lead management is to ensure that leads become viable business opportunities, and, eventually, happy customers. If you have anything that you wish to sell or promote online, you should be thinking hard about lead management.

The Bad and Good News about Lead Management

Marketers are facing new challenges as marketing departments are scaled back while demands for quality, fast leads grows. Businesses want more leads quicker and they want leads that lead to a high conversion rate. At the same time, they want marketers to accomplish all this with much smaller budgets. Thankfully, technology has kept pace and there are a number of high-tech lead management tools that can help marketers develop the stats and charts that were once only the domain of very powerful companies with entire teams of staff.

Lead Management Systems

Although there are many lead management systems are available, businesses still must choose the right system for their needs. This can be challenging - with each system promising to have customers battering down your door. It can also be a crucial decision. After all, while the right system can mean more customers and more profits, investing time and money into the wrong system can mean a huge investment wasted. For small and even medium-sized businesses, choosing the wrong lead management system can be a serious enough error to sink the company.

Selecting Systems

To choose your lead management system, chart your current method of generating leads and nurturing them. Write down the steps and how much time each step does or should take. This should give you a sense of what your lead system should include. Then, develop a list of features you would like to have in your program. If there are features that can save you time or bring in more profit, what are they? Do you need more help with conversion, or help with contacting leads in the first place? Do you need help analyzing leads or is it repeat business that is proving a problem? Look at some of the features of lead management systems online, and select the features that you would like to have in your own system. What would make getting leads much simpler? Don't worry too much about price at this point - just figure out your ideal system.

Narrowing Down Lead Programs

Review each vendor you are considering buying lead management programs from. What are their reputations like? What are the costs of the programs? How satisfied are their clients? Who are their clients? Next, prepare background information for each vendor about your own company. Include as much details as you can, including the techniques you are using now to drum up and maximize leads. This can help vendors come up with a customized package and also a written proposal for your needs. Take a good look at the written proposal. Remember that what is promised orally does not count - always just trust what is in black and white. Look at the proposal and look for the quality and forethought that went into it. The text should include the company background and qualifications, detailed recommendations for your business and a transparent listing of fees. Be wary of vendors who do not take time to put effort into the proposal - it is unlikely that they will put in much more effort into the system you will rely on. Be sure to research the most promising vendors scrupulously. Visit their company facilities, conduct interviews, ask the tough questions and check references. Finally, just when you are ready to sign on the dotted line, be sure to try a trial program to ensure that you will be getting your money's worth.
